The first person to reply usually wins the job. I have built this into our own website, so here is how it works and where I would be careful with it.
When someone fills in the contact form on astrinova.io, the enquiry goes to an n8n workflow. An AI model reads it and gives it a score for how good a fit it looks. If the score is high enough, the sender gets a quick, polite first reply. Either way I get an alert and the enquiry is logged in a spreadsheet. That is the whole thing. It is deliberately small.
Why only the strong leads get an automatic reply
It would be easy to reply to everyone. I chose not to. A weak or unclear enquiry deserves a human answer, and an automatic one can make things worse. So the automation only handles the cases where it is clearly safe, and everything else waits for me.
One thing I have not built yet is automated follow-ups after the first reply. I would rather add that slowly than ship something that chases people.
What I would tell any business before building this
- Say it is automated. A short, clear first reply that explains what happens next beats a fake personal note.
- Give the AI only facts you stand behind. Prices, timelines and promises should come from you, not from a guess.
- Keep a person in the loop for anything sensitive, unusual or unclear.
- Read the replies. Skim a sample every week and tighten the rules when something sounds off.
- Share as little data as you can with any third-party tool.
Is it worth building?
If you get a steady trickle of enquiries and your answers are slow or patchy, yes, probably. If you get two a month, just answer them yourself. Our automation calculator gives a rough idea of the time involved, and there is more on AI automation for small business. Or tell us about your own workflow.
